Job Summary/Description

Under general supervision, this position performs office support functions for administrative departments and is responsible for managing the day to day activities of the office including calendar management, purchasing, personnel/payroll transactions, bookkeeping, etc. This position may also perform specialized work that is unique or specific to the departments but within the scope of the position’s responsibilities and skill set.

Typical Duties/Job Duties

Performs a variety of secretarial and support tasks for the Executive Director of Student Affairs, Director of Title IX Compliance, and the Director of Disability Services; assists with calendar maintenance, appointment scheduling, report deadlines, travel paperwork, budgeting, and related matters; schedules meetings and reserves meeting rooms.

Composes and/or types memos, meeting minutes, and general correspondence from handwritten notes or brief instructions.

Design and manage mechanisms for data collection in accordance with departmental, divisional, institutional, state, and federal guidelines and policies including the preparation of monthly and annual reports, assessment, feedback surveys, and required federal reporting documentation.

Maintain, organize, and implement sound record keeping and tags student records, as needed, for various holds.

Prepares requisitions; monitors departmental fund balances and provides monthly updates to the budget managers; reconciles departmental expenditures with monthly fiscal office report.

Compiles workload and activity data; maintains evaluation and survey information gathered on all services.

Assists in assessing computer hardware and software needs; researches and orders equipment or software, as requested; provides instruction to departmental staff and student personnel in the use of newly purchased software.

Maintains computer and hard copy department files in an accurate and timely manner; ensures adherence to records maintenance, confidentiality, and related practices and policies.

Develop and maintain statistical records and reports for areas of responsibility.

Assists with the development, updating, and maintaining departmental websites.

Support coordination of departmental workshops and other campus events.

Opens and distributes mail, attaching materials for use, as appropriate.

Greet students, faculty, company representatives, and other visitors; answer the telephone addressing callers in a professional, service-oriented manner; correctly and accurately route calls, take messages and/or schedules appointments as necessary.

Work directly with departmental special projects to meet departmental and university wide goals.

Other duties as assigned.

Knowledge, Skills and Abilities

Knowledge of secretarial, clerical, and general office procedures and practices; knowledge of spelling, grammar, and punctuation; knowledge of academic and other higher education terminology and processes; knowledge of word processing, database, and spreadsheet applications and software.

Ability to perform basic mathematical calculations; ability to type 45-55 WPM; ability to organize and complete tasks in an accurate and timely manner; ability to perform work requiring accuracy and attention to detail; ability to operate a variety of office equipment.

Skilled in the operation of personal computer keyboards, and computers; skill in oral and written communication; skill in interpersonal relations.

Minimum Qualifications

Possession of a high school diploma or GED certificate. One year of experience as an executive, administrative, or departmental secretary or comparable level.
